Position Summary

The Director of Tournament & Event Sales is responsible for generating, managing, and executing all golf tournaments and group events at the club. This role focuses on driving revenue through proactive sales efforts, cultivating client relationships, coordinating event logistics, and delivering exceptional tournament experiences. The Director works closely with club leadership and operations teams to maximize booking opportunities and ensure flawless execution from initial inquiry through post-event follow-up.

Essential Duties and Responsibilities

  1. Tournament & Event Sales Development
    a. Proactively solicit and secure golf tournaments, corporate outings, charity events, and group bookings.
    b. Respond to inquiries, conduct site tours, and prepare customized proposals and contracts.
    c. Build and maintain a strong pipeline of new and returning tournament clients.
  2. Client Relationship Management
    a. Serve as the primary contact for all tournament clients from booking through execution.
    b. Build long-term partnerships to encourage repeat business and referrals.
    c. Ensure all client needs, expectations, and contractual obligations are clearly communicated and fulfilled.
  3. Event Planning & Coordination
    a. Develop detailed tournament plans including timelines, pairings, contest setups, scoring, and food & beverage coordination.
    b. Collaborate with golf operations, food & beverage, and outside services to ensure event readiness.
    c. Coordinate tournament materials including signage, sponsor requests, and on-course setup.
  4. Financial Management
    a. Prepare pricing, proposals, and event budgets to maximize profitability.
    b. Monitor tournament revenue and expenses to ensure financial targets are met.
    c. Identify upsell opportunities including contests, merchandise, food & beverage, and add-on services.
  5. Sales Reporting & Forecasting
    a. Track and report tournament sales performance and booking pace.
    b. Maintain accurate records within sales systems and event files.
    c. Provide regular revenue forecasts and production updates to club leadership.
  6. On-Site Event Management
    a. Oversee tournament execution to ensure a seamless client and guest experience.
    b. Act as the primary host during events and quickly resolve operational issues.
    c. Ensure compliance with club policies and tournament standards.
  7. Internal Team Coordination
    a. Communicate tournament details clearly to all departments in advance.
    b. Partner with golf and F&B managers to deliver consistent service levels.
  8. Business Development
    a. Identify new tournament markets including corporate, charity, association, and social groups.
    b. Develop outreach strategies to grow the club’s tournament calendar.
    c. Strengthen relationships with local businesses and organizations to drive bookings.
  9. Continuous Improvement
    a. Evaluate tournament operations and client feedback to enhance future events.
    b. Implement new ideas and offerings to keep tournament experiences fresh and competitive.
    c. Recommend operational improvements that support tournament growth.
  10. Data Analysis & Post-Event Follow-Up
    a. Collect client feedback and analyze event performance.
    b. Track retention, repeat business, and revenue trends.
    c. Prepare recap reports and follow-up communication to secure future bookings.

 

Education/Qualifications/Certifications/Requirements

  • Proven experience in planning and managing sports tournaments or similar events.
  • Strong organizational, communication, and leadership skills.
  • Ability to work flexible hours, including evenings and weekends.
  • Excellent analytical and problem-solving abilities.
  • Proficiency in using business and data analysis tools.
  • A customer-centric mindset.
  • Work as a Team Player with co-workers and in conjunction with other departments.
  • Demonstrates continuous effort to improve operations, streamline work processes, and work cooperatively and jointly to provide quality customer service.

Salary Range:

$100,000 to $115,000
